Privacy Policy

1. Who We Are

SeatWise ("we", "us", "our") is a library management software platform operated by SeatWise Technologies Private Limited, a company registered under the Companies Act 2013 in India. Our platform is available at seatwise.in and via our Android and iOS mobile applications.

This Privacy Policy applies to all library owners, staff members, and administrators ("Users") who create an account and use SeatWise services. It does not apply to the end library members managed within SeatWise — their data is covered under Section 7 of this policy.

For the purposes of India's Information Technology Act 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules 2011, SeatWise acts as a Body Corporate collecting, processing, and storing data on behalf of Users.

2. Data We Collect

2.1 Account Information

When you create a SeatWise account, we collect:

• Your full name and mobile number
• Email address
• Library name, address, and operating details
• Password (stored as a one-way cryptographic hash — we cannot see it)
• Subscription plan and payment history

2.2 Usage Data

As you use SeatWise, we automatically collect:

• Pages and features accessed within the app
• Device type, operating system version, and app version
• IP address and approximate location (city level only)
• Session duration and usage frequency
• Crash reports and error logs

2.3 Payment Information

SeatWise uses third-party payment processors (Razorpay) to handle subscription payments. We do not store your credit card, debit card, or UPI credentials on our servers. Payment processors are PCI-DSS compliant and handle all sensitive financial data directly.

We retain: transaction ID, amount paid, payment date, plan purchased, and payment method type (e.g., "UPI" or "Card" — not the actual card or UPI ID).

3. How We Use Your Data

We use your data solely for the following purposes:

• Service delivery — to operate your library management account, process seat bookings, send WhatsApp reminders, and generate reports
• Account communications — to send you subscription receipts, renewal reminders, and important account notices
• Customer support — to diagnose and resolve technical issues you report
• Product improvement — to understand how features are used so we can improve them (using anonymised, aggregated data only)
• Security — to detect and prevent fraudulent or abusive use of our platform
• Legal compliance — to comply with applicable laws, court orders, or regulatory requirements in India

We never use your data for advertising or sell it to third-party marketers.

4. Data Sharing

We do not sell, rent, or trade your personal information. We share data only in the following limited circumstances:

4.1 Service Providers

We work with carefully selected third-party service providers who process data on our behalf under strict data processing agreements:

• Razorpay — payment processing
• AWS / Google Cloud — secure cloud hosting and storage
• WhatsApp Business API provider — for sending automated member reminders
• Firebase / Crashlytics — app crash reporting and analytics

4.2 Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority in India, or where we believe disclosure is necessary to protect our legal rights or prevent harm.

4.3 Business Transfer

If SeatWise is acquired or merged with another company, your data may be transferred as part of that transaction. We will notify you via email and provide an option to delete your account before the transfer.

5. Data Storage & Security

All SeatWise data is stored on servers located in India (Mumbai region, AWS) and is subject to Indian data protection laws.

We implement the following security measures as required under the IT Rules 2011:

• 256-bit SSL/TLS encryption for all data in transit
• AES-256 encryption for sensitive data at rest
• Automatic daily backups with 30-day retention
• Access controls — only authorised SeatWise engineers can access production data
• Two-factor authentication for all internal systems
• Regular security audits and penetration testing

We retain your account data for as long as your account is active, plus 90 days after account deletion to allow data recovery if you change your mind. After 90 days, all data is permanently and irreversibly deleted from our systems.

6. Cookies & Tracking

Our website uses cookies to improve your experience. Here is what we use and why:

• Essential cookies — required for login sessions and security. Cannot be disabled.
• Analytics cookies — Google Analytics, used to understand which pages are visited most. Data is anonymised. You can opt out via browser settings.
• Preference cookies — stores your theme preferences and language settings.

Our mobile app does not use cookies. It uses secure, encrypted local storage for session management.

7. Your Library Members' Data

When you use SeatWise to manage your library, you enter personal data about your members (names, phone numbers, Aadhaar details, photos, etc.). This data belongs entirely to you — the library owner.

As a data processor for this member information, SeatWise:

• Stores member data only as necessary to provide the service you've requested
• Never contacts your members directly for marketing or any other purpose
• Does not share member data with any third party except to send the WhatsApp/SMS reminders you configure
• Provides you with full export capability so you can take your member data at any time
• Deletes all member data within 90 days of account closure

You are responsible for ensuring you have the appropriate consent from your library members to store their personal data in SeatWise, in accordance with applicable Indian laws.

8. Your Rights

As a SeatWise user, you have the following rights with respect to your personal data:

• Access — you can request a copy of all personal data we hold about you
• Correction — you can update your account information at any time from Settings
• Export — you can export all your library and member data in CSV format from Settings → Export Data
• Deletion — you can delete your account and all associated data from Settings → Delete Account, or by emailing seatwisein@gmail.com
• Restriction — you can request that we stop processing your data while a dispute is resolved
• Objection — you can object to any data processing not required for service delivery

To exercise any of these rights, email us at seatwisein@gmail.com with the subject line "Privacy Rights Request". We will respond within 30 days as required by Indian law.

9. Children's Privacy

SeatWise is a B2B platform designed for adult library owners and their staff. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal information, please contact us at seatwisein@gmail.com and we will delete it promptly.

Note: Library members (students) managed within SeatWise may include minors. Library owners are responsible for obtaining appropriate consent from the parents or guardians of minor members as required by applicable Indian laws.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we make significant changes, we will:

• Update the "Last updated" date at the top of this policy
• Send an in-app notification to all active users
• Email registered account holders if the changes materially affect your rights

Continued use of SeatWise after the effective date of any changes constitutes your acceptance of the updated policy.
